1. Who I Am

I’m Alex Rowley, and I help with lots of different community projects. Some of these I run myself, and others I do jointly with local groups – like Oakley Community Association (OCA), Oakley Neighbourhood Watch (NW), Oakley & Deane Parish Council (ODPC), and Basingstoke & Deane Independents (BDI). When I work with you, I’ll either be responsible for your information myself, or share that responsibility with the group I’m working with.

2. What Data I Collect and Why

To support community activities, I may collect things like:

  • Your contact details (name, address, email, phone).
  • Information you share when joining in with community events, meetings, or projects.
  • Concerns or ideas you raise about local issues.
  • Volunteer or supporter details when you get involved.

I use this information to organise and promote local events, support initiatives such as Neighbourhood Watch, keep in touch with residents about community matters, and work together with OCA, NW, the Parish Council, and BDI on shared projects.

I only use your information when the law allows. The main reasons are:

  • Consent – for example, when you sign up to receive updates or offer to help.
  • Legitimate interests – such as running events or projects where you’d expect your details to be used.
  • Substantial public interest – for things like community safety, wellbeing, or democratic engagement if sensitive information is involved.

4. Sharing Your Data

Sometimes I share data with the groups I work with – OCA, NW, the Parish Council, or BDI – when we’re running activities together. In those cases, we share responsibility as joint controllers.

At the moment, I am acting in my community roles, not as a councillor. If I am elected in the future, any formal councillor casework will be handled separately under a Councillor Privacy Notice.

I’ll never sell your data, and I’ll only share it where it’s genuinely needed for community purposes.

5. How Long Data is Kept

  • Community engagement data is kept while you’re involved and reviewed regularly.
  • Volunteer or supporter information is kept for as long as you’re actively taking part, then securely deleted.
  • Where I’ve worked jointly with another organisation, the retention will follow their privacy policy too.

6. Your Rights

You have rights over your information. You can:

  • Ask to see what I hold about you.
  • Have it corrected or deleted.
  • Object to how it’s being used.
  • Withdraw your consent if you’ve given it.
  • Complain to the Information Commissioner’s Office (ICO) at ico.org.uk.

7. Use of Service Providers (Processors)

To help manage community activities, I sometimes use trusted services such as:

  • IT and cloud providers to store information securely.
  • Event or volunteer management tools.
  • Printers or mailing services for newsletters or leaflets.

These providers only act under my instructions (or jointly with the groups I work with) and can’t use your data for anything else.
